How to Display Subtotals in Pivot Tables in 30 Seconds

Did you know you can display subtotals in Pivot Tables?

Say you’re analyzing a company’s T-shirt sales. There are four store locations (East, North, West, and South) and each sells three sizes: Small, medium, and large.

Instead of only seeing the total revenue, you’d like to see the subtotal from each store. 🔎

 Here’s what you’d do:

1) Highlight your data

2) Click Insert and Pivot Table

3) Select OK

4) Go to PivotTable Fields

5) Add Region and Company Size to your Rows field

6) Add Sales to your Values field

7) Highlight your Pivot Table

8) Navigate to the Design tab and select Subtotals

9) Click Show all Subtotals at Top of Group

Voila! Now all that’s left to do is marvel at what you’ve just created.

Want more Pivot Table tips? I got you! We’ll be covering tons in my free live Excel class this Friday at 12 PM ET. Don’t forget to sign up!

🚨 Warning: Side effects might include an impressed boss, increased self-confidence, and gorgeous spreadsheets.

How To Optimize Your Inbox For Opportunities

3,026. That’s how many emails I had piled up when I quit my job in 2020 to go all in on Miss Excel. 🫠 I didn’t know it then, but that digital mess was preventing opportunities for the brand.

Here’s what I mean:

Outstanding items, emails, and tabs drain and scatter your attention. If your inbox overwhelms you, you won’t be in a good headspace to welcome new opportunities. Why? Because you’re more likely to forget important things—or miss them entirely—while avoiding your inbox's chaos.

It wasn’t until I cleared my emails I realized how much Inbox Zero was a game-changer.

Huge prospects—from press inquiries to dream clients—started coming my way. I realized that when I have the space and focus required to entertain opportunities, that’s when they come my way.

“But Kat, how did you sort through those 3,000 emails?!” I got you! Here are my three tips:

  • Outlook rules are your BFF. Rules let you auto-flag, delete, forward, and respond to messages automatically. I’m a huge fan of using rules that put mail into certain folders based on who sent the email

    • (e.g. Anything from my social media team goes straight into my “Marketing” folder!).

  • Color-code emails. This lets you recognize emails from family, friends, or co-workers in a cinch. (Unsure how it works? I’ll teach you in 30 seconds).

  • Mass delete emails with typical marketing phrases. From “Rewards” to “Deals” use this list of promotional phrases to mass delete the emails that probably make up 75% of your inbox.

Happy sorting!

  • The case for not having long-term career goals past six months.

  • ”I’m not lucky,” “I can’t,” and eight other phrases to remove from your personal dictionary.

  • An old pair of white pants taught me this important lesson about confidence.

  • Learn how to create multiple reports from a single pivot table in 30 seconds.
