Have AI Clean Messy Data in Just 30 Seconds 🤖

“This is going to take forever. 😩” 

It’s a Friday when your boss forwards you the customer service log and asks you to pull the order numbers. The problem? Every order number is sandwiched between complaints and shipping notes. 🫠

Enter: REGEXEXTRACT! This handy function finds and pulls out specific text from a cell using a pattern — turning this tedious task into a seconds-long one. 

There’s just one catch: that pattern is written in regex, a code that uses symbols instead of plain English. In other words, it can look a little…cryptic. 😅

Luckily, you can team up with AI and Excel to crack the regex code and get the job done fast! Here’s how: 

Step 1) Click the first cell where you want your extracted order numbers to appear and note the cell refernece (e.g. B3) 

Step 2) Copy 2-3 cells from the column you want to clean up 

Step 3) Paste them into AI and write: 

“Write me an Excel REGEXEXTRACT formula that extracts just the order number from these cells. The formula needs to reference cell B3. Give me the complete formula.” 

Step 4) Paste the formula in your first cell 

Step 5) Press Enter and drag the formula down

How to Identify Repetitive Tasks With AI ⌛

Question: How many hours did you spend last week doing something you’d already done the week before? If your answer is “none,” I bet you’re wrong. 

(Sounds mean, but I promise I have your best interest at heart. 🙃) 

It’s not that you’re disorganized. Repetitive work is hard to spot! It doesn’t feel repetitive because the content changes, but the shape of the task stays the same. 

Like that Monday report. Or the follow-up email after every all-hands meeting. Different information, but the format doesn’t change. 

Wouldn’t it be nice if you could offload all those repetitive tasks and get hours of your week back? 👀 

That’s where AI comes in! The first step is finding where your repeating work is hiding. Start in your: 

  1. Calendar: Recurring meetings usually come with recurring prep and follow-up attached. 

  1. Sent folder: Look at the messages you keep writing. Are you answering the same questions and sending the same updates? 

  1. Week itself: For one week, jot down any task you notice yourself repeating. 

Then, turn your list into a starting point. Run each task through the five-trait test: Is it repetitive? Predictable? Rule-based? Low-stakes? Time-consuming? 

From there? Look for the overlap between the tasks you repeat most and the ones that eat the most time. That overlap is your starting point!
